Chapter 1: Growth without losing control

- What have we changed since the last review? The only question that turns analysis into management.

There isn't one retention period. There are several
This is where filing policies come apart. Internally people talk about "the retention period" as though there were one. Different rules bear on the same records, and the longest of them determines how long the archive really has to stand.
- Tachograph data must be kept and made available for a minimum period — a floor, not a recommendation of when to delete.
- Working time records run on their own clock under employment law.
- Anything with a tax or accounting dimension runs on a third, and typically the longest of the three.
Whoever deletes at the shortest period they happened to meet first destroys material they will still need years later. Scaling here doesn't mean more storage — it means knowing which record falls under which clock. At three vehicles you carry that in your head. At thirty you don't.
Start with a sheet, not a subscription
Before choosing anything, list every vehicle and every driver with the date of their last download. If a tool answers that faster than the sheet does, it earns its money. If not, you've swapped a filing problem for a licensing one.
Memory overwrites itself without warning
There is one kind of data loss that no backup catches and nothing announces. Storage in the unit and on the driver card is finite; once full, the oldest data is written over — no message, no prompt, no trace.
So data is lost quietly. There is no day on which something fails. There is a day on which somebody asks for a record from six months ago and it doesn't exist — and cannot be restored from any copy, because the source itself was overwritten.
Scale makes this sharper for an unobvious reason: more vehicles means a higher chance that one falls out of the cycle, and more drivers means a higher chance that somebody has been away for a long stretch. The download interval therefore has to be shorter than the overwrite window — not equal to the legal deadline. Whoever downloads right on the limit eventually meets the month with two bank holidays and the annual leave of the person who does it.
